1. When we receive a request to join our lottery, Woking & Sam Beare Hospices Lottery will send the prospective player an introduction letter advising of their membership number(s). This membership number will be generated randomly by our membership software system (Donorflex) during the application process. Single tickets purchased at one of our retail outlets or events will be entered into the draw stated on the lottery ticket. No personal data will be recorded at point of sale for single tickets purchased at one of our retail outlets but proof of age may be required. Single tickets are produced via the till system which will allocate a ticket number from a pre-allocated ticket number range individual to each of our Retail outlets or events.

  2. We limit the number of entries per person to 10 with the exception of single tickets where the limit is 20 per person unless purchasing for an event by prior arrangement with the Lottery Manager.

  3. Lottery fundraisers will wear a WSBH uniform and have an identification (ID) badge which shows their photograph, name and job title. They may be direct employees of the Woking & Sam Beare Hospices or employed via a canvassing agency under contract to Woking & Sam Beare Hospices.

  4. All subscriptions received at a minimum of £1 per week payable in advance will be entered into the weekly draw, carried out normally each Friday. In the event a draw is delayed it will take place as soon as possible, and before the next scheduled weekly draw. If you pay £4.34, or multiples thereof by calendar month, then each 34p per entry will accumulate in your account, over three months, to fund the thirteenth week in every quarter of a year resulting from some months having 5 weeks in them. All single tickets are paid for at the time of receipt and charged at £1 per ticket.

  5. In each weekly draw there are 25 guaranteed cash prizes available to be won; 1x £1000, 1x £50, 1 x £40, 1 x £30, 1 x £20, 5 x £10 and 15 x £5. Prize winners are notified by post normally within 1 week of the draw taking place which will include the relevant cheque with the exception of prizes won as a result of the purchase of a single ticket via our retail outlets. Prizes will be in the form of sterling cheques and made payable in the member’s name as indicated on their application or as indicated on the stub of the single ticket if purchased at an event. The cheques are mailed direct to the winning member’s address as recorded on their application. Weekly winning numbers are published in the local press, on our website, in our retail shops and in Woking Hospice reception.

  6. Where the win relates to a single ticket purchased at one of our retail outlets, the responsibility falls to the purchaser to claim any prize due either in one of our retail outlets or by calling the lottery hotline 01483 881771. Prizes for single tickets only, to the value of £10, will be paid by cash directly from our retail outlets, prizes above £10 will be paid by cheque– proof of purchase must be provided in the form of the original lottery ticket regardless and name, address & date of birth will be required in order to issue a prize cheque. If the original ticket cannot be produced then the prize will not be paid out. Prizes appertaining to single tickets not claimed after 12 weeks from the date of the winning draw will be treated as donations to Woking Hospice.

  7. Should one individual represent a particular syndicate and apply to have a number(s) in their name, the Lottery will make any prize cheque due to this individual and it is incumbent upon them to distribute the winnings to the syndicate members. Clubs or syndicates may apply to join, but it should be noted in the event of a prize cheque being made out the cheque will be payable in the name of this club, and not to an individual.

  8. Where the prize winner indicates they wish the sum be donated back to the hospice, the winning sum will be donated to Woking Hospice via an internal transfer of funds. If registered for gift aid then the gift aid will be claimed against the donation.

  9. In 2022, the likelihood of winning a prize was, on average, 1 in 258 in our regular Weekly Lotteries and 1 in 3771 in our Raffle Draws. Winners are determined via an electronic draw and prizes are then allocated accordingly.

  10. The regular payment facility can be by standing order (for existing plays) or direct debit. A direct debit can be set up online via our website or by completion of a lottery application form available from the lottery office. The website is facilitated by a third party and all and any data passed to Woking & Sam Beare hospices via secure means. Direct Debits may be set up over the telephone using a specified direct debit set up script with all details being input to Donorflex at the point of communication. All information is available in our leaflets, from the lottery office or by visiting our website. Payment may also be made via cheque or debit card.

  11. Any pence credit that remains on a members account will, after a period of 12 weeks, be treated as a general donation to Woking & Sam Beare Hospices. Any un-cashed prizes will, after a period of 12 weeks, be treated as a general donation to Woking & Sam Beare Hospices.

  12. Membership cancellation can be carried out at any time with members numbers continuing in the draw until the credit against each number has reduced to 99p. If members pay by standing order then members must contact their bank/building society to cancel the instruction. Refunds cannot be made after the payment has been credited to a membership number. Please contact the Fundraising office for further assistance.

  13. We reserve the right not to accept an application, or to cancel an existing subscription at our absolute discretion. Any such rejection or cancellation may be reconsidered on submission of a written appeal to the Lottery Manager within 7 days. The decision of the Lottery Manager will be final.

  14. All members are solely responsible for providing Woking & Sam Beare Hospices with their accurate and up-to-date contact details and Woking & Sam Beare Hospices will be in no way liable for any failure or inability to contact a member due to any errors, omissions or inaccuracies in the contact details that the member has provided. In the event that a member changes their contact details, they will be solely responsible for advising Woking & Sam Beare Hospices of the change. Plays will continue to be entered into the draw each week however, any unclaimed winnings, after a period of 12 weeks will be treated as a donation to Woking Hospice.

  15. Where a member is reported to Woking & Sam Beare Hospices as deceased and there is credit on their lottery number, we will ask for independent documented confirmation that the person informing us is the next of kin (NOK) or executor of the estate in order to accept their instruction. Where the NOK wishes to continue with the lottery play, provided payments are received via standing order paid from a joint account held with the deceased, it may be transferred into their name assuming the payment continues from said account. If the remaining credit on any one play is £10 and under it will be treated as a donation, unless a refund is requested by the NOK or executor. In this instance proof of status shall be required. Where the remaining credit is over £10 we will write to the NOK or Executor or, if not known, then to the last known address of the deceased, requesting contact be made in order to authorise a refund or to treat the credit as a donation. If, after a deceased notification is received, a standing order payment continues to be received, the monies will be transferred into a holding account. After a period of 12 months, if no contact has been established, with either NOK or Executor, any remaining credit will be used as a donation to Woking Hospice. In the event that a deceased notification is received after a prize has been allocated, the prize cheque may be re-issued to the estate of the deceased provided proof of executor status is received.

  16. An instruction to be self-excluded, as defined in the Gambling Act 2005, from the Woking & Sam Beare Hospices Lottery or one off prize draws may be submitted in writing or telephoned through to the lottery office or emailed to us. Customers wishing to use this facility will not be able to re-join the lottery for a minimum of 6 months from the date of exclusion and then expanded in 6 monthly increments.

  17. The requirements of the Gambling Act 2005 mean that the Woking & Sam Beare Hospices Lottery has a statutory duty to verify that you are 16 years old or over and reside in Great Britain. It is an offence for anyone under the age of 16 years to participate in a lottery. However, Woking & Sam Beare Hospices lottery stipulates all players must be 18 years or over in order to participate. By submitting a request to join the lottery, individuals are agreeing to the Woking & Sam Beare Hospices Lottery carrying out checks in any way it may deem appropriate. This may include references to credit and government agencies.

  18. Woking & Sam Beare Hospices Lottery is a member of The Hospice Lotteries Association who on behalf of their members make a financial contribution towards the Responsible Gambling Trust the leading organisation that provides practical help to problem gamblers.   19. All complaints and disputes will be dealt with in accordance with our policy, a copy of which is available from the Woking & Sam Beare Hospices Lottery office. In the event a complaint or dispute cannot be resolved, it will be referred to alternative dispute resolution.   20. We promise to comply with all Data Protection Act requirements and protect your personal data as well as storing securely bank information and debit card data for those members who pay by these methods. It will be appreciated by members that Woking & Sam Beare Hospices Lottery cannot accept liability for the loss or delays in or theft of any communication sent by post, email or fax, or for any delays in the banking system.

  21. All profits from our Lottery go directly towards funding the care and support that is given to our patients and their families. No charge is made to our patients and their families for the care we give.

  22. No employed member of Woking & Sam Beare Hospices Lottery team or gambling licence Annex A holders may play the Lottery. All other paid staff, volunteers and trustees of the Woking & Sam Beare Hospices Charity staff may play the Lottery.

  23. The Promoter will take all reasonable steps to ensure payment received into its bank account is considered as a stake in the draw. In the event of ambiguous credits into the bank account the Promoter will take reasonable steps to confirm the intention of these monies from the sender of these monies and act accordingly.

  24. Subscriptions to the Lottery cannot attract Gift Aid.

  25. Players pay in advance for a number of chances in a series of draws or purchase a single ticket for one chance per ticket purchased. Once a payment for a number of weeks has been made it will be the Promoter’s decision as to whether a refund can be made on this subscription. Players may stop participation in the draw at any time and no notice is required to the Promoter. In the event of a player wishing to stop playing and having a sum of money held by the Promoter as a stake for future draws, the Promoter may at their discretion refuse a refund of this advance payment. The refund could, in any event only be made for the value of the initial payment less any chances used in the interim period and less administration costs incurred. Refunds can only be made in exceptional circumstances.

  26. Debit card payments will be accepted either face to face, in the lottery office, by mail or via telephone. The player must be the cardholder. The Promoter will not take any further card payments without permission from the cardholder. The Promoter will hold a record of any and all transactions. Payment via credit card is not permitted for remote transactions however payment via credit card is acceptable for the purchase of single tickets in our retail outlets provided the card holder is present.

  27. If the transaction is made by mail then the following will apply. In the event of the player being new to the lottery, the Promoter will confirm their opening subscription in writing. In the event of the transaction failing the Promoter will inform the prospective player of this failure and would expect to include reasons for this failure. The prospective player will be asked whether they still wish to become a player of the lottery and if so would need to supply an opening payment. In the event of the player renewing their existing subscription it will be assumed that the transaction has succeeded and the Promoter will not notify confirmation to the player. In the event of the transaction failing the Promoter will inform the player of this failure and would expect to include reasons for this failure. The player will be asked whether they wish to play the lottery and that if so would need to supply another payment.

  28. If the transaction is conducted via telephone the following will apply. The player will be informed after the call if the transaction has failed. If this player is a new player to the lottery they will be sent confirmation of their participation in the lottery. If this player is an existing member renewing their subscription they will not be sent any confirmation of the transaction. However, a copy of the debit card receipt must be offered to the payer in all circumstances.

  29. Lottery entry payments are held in a specific bank account and identified as advance payments for future draws.
    a. In the event of us ceasing the operation of the Lottery we will refund any remaining player credit to you following the last draw held.
    b. In the unlikely event of insolvency these funds are not protected and you would not be able to access any such funds in this eventuality.
